Question: How To Manage Your Hosted Exchange Mailbox Size

It is important to periodically review your Hosted Exchange Mailbox size. Clients who exceed their Mailbox storage levels will be charged usage on a per Mb basis.
To check what your current Hosted Exchange Mailbox size is within Outlook:
- Right click the folder “Mailbox - Your Name”
- Click Properties
- Then click the Folder Size button
This will show you the total amount of space used by your e-mail account as well as the amount of space being used by each individual folder.
Which Emails in Outlook are Stored on the Hosted Exchange Server?
In Microsoft Outlook, all emails that are stored in folders under the “Mailbox - Your Username” folder are synchronised with the Hosted Exchange Server.
This includes the folders and subfolders of:
- Inbox
- Sent Items
- Junk Mail
- Calendar
- Etc…

I’m reaching or have exceeded my storage levels. What are my options?
You have three options if you are about to or are already exceeding your storage limits:
1. Delete Emails
The easiest thing to do is either to delete emails or remove large attachments in your emails. If you sort your Inbox or Sent Items folder by message size, you can quickly identify the emails which are contributing to your excessive storage levels. These are usually emails with large photos, video or audio files. By deleting these larger emails you can generally reduce most of your storage levels (note: you’ll need to empty your ‘Deleted Items’ folder in order for emails to be completely removed from the server).
2. Upgrade Your Hosted Exchange Account
The other option is to upgrade your Hosted Exchange account. To view upgrade plan options, go to www.redalto.com.au/exchange.html
3. Move Emails FROM the Exchange Server TO your Local Computer
Another viable option is simply to move emails from the Hosted Exchange folders, to a folder on your Local Computer. These “local” folders are called “Personal Folders”
Personal Folders can be created in Microsoft Outlook so that you can store, manage, and archive your e-mail on the hard drive of your “local computer”. By using Personal Folders, you may reduce the amount of space used on the Hosted Exchange mail server.
How do I move emails from the Exchange Server to a Personal Folder?
The process to move emails from the Exchange Server to your Local Computer (Personal Folders) is quite simple:
- First, you need to create a Personal Folder with Microsoft Outlook

- Then simply drag and drop emails from any folder or sub-folder under “Mailbox - Your Username” to a folder or subfolder under your new “Personal Folder”
